ZenithNative provides a CRM, unified inbox, and AI support and sales platform that helps businesses manage customer messages, leads, communication channels, and follow-up. This policy covers information processed through our website, dashboard, and related services. It applies to you as our customer (“you”) and explains how we handle data about the end customers who interact with you through the Service.

• Account data — your email address, name, and business name when you register.
• Workspace data — communication channel settings, knowledge base content, conversations, and contacts you create or upload.
• Usage data — logins, feature usage, conversation counts, and similar diagnostic information.
• Customer data — information about your end customers that flows through our system, such as their names, contact details, and message content.
• Payment data — handled by Lemon Squeezy, our payment processor. We do not store your full payment card numbers.

We use the data we collect to:

• Operate, maintain, and secure the Service;
• Process customer messages to provide support, sales follow-up, CRM, automation, and AI reply features;
• Generate AI replies, lead qualification, and conversation summaries when enabled by the business;
• Process billing and manage subscriptions;
• Provide customer support and respond to your requests;
• Improve and develop our products and features.

To provide AI features, conversation content may be processed by trusted third-party AI providers. This processing is done to generate responses, summaries, lead insights, and follow-up assistance for your business. We do not permit your data or your customers’ data to be used to train these providers’ models.

We do not sell your data. We share data only with service providers that help us operate the Service:

• Payment processing — Lemon Squeezy (Merchant of Record).
• AI provider — for generating replies and insights.
• Infrastructure — our secure database and hosting providers.

We may also disclose data if required by law or to protect the rights, safety, and security of ZenithNative, our users, or the public.

For active accounts, we retain data for as long as your account remains active. When an account is deleted, we retain associated data for up to 30 days to allow for recovery and to meet legal obligations, after which it is permanently deleted from our active systems.

You can access, correct, export, or delete your data at any time. Many of these actions are available directly in your dashboard. You and your customers may request data deletion by contacting us. If you are located in the European Economic Area (EEA) or the United Kingdom, you have rights under the GDPR and UK GDPR, including the rights to access, rectification, erasure, restriction of processing, data portability, and objection. For Customer Data, you act as the data controller and we act as your data processor, processing data on your documented instructions. We use essential cookies to keep you logged in and to remember preferences such as your theme setting. We may use limited analytics to understand how the Service is used and to improve it. You can control cookies through your browser settings; disabling essential cookies may affect functionality.

We protect data using encryption in transit and at rest, role-based access controls, and reasonable administrative and technical safeguards. No method of transmission or storage is completely secure, but we work to protect your data and to promptly address any vulnerabilities we identify.

The Service is not intended for individuals under the age of 16, and we do not knowingly collect personal data from children. If we learn that we have collected such data, we will delete it.

We may update this Privacy Policy from time to time. If we make material changes, we will provide reasonable notice. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
